How To Move Items Between Notion Databases: Quick Tutorials (2024)

Copying Data
January 1, 2024

Notion is a powerful tool for organizing and managing your data. One of its key features is the ability to create databases to store and organize information. But sometimes you might want to move items between these databases. This tutorial will show you how to do this quickly and easily.

How To Move Items Between Notion Databases

  1. Navigate to the database where you'd like to move data from.
  2. Work with a table view. If the data is in another view, create a table now. Then, drag and select all the rows of data you'd like to copy and move.
  3. Copy the data by hitting 'Ctrl' + 'C' on your keyboard, or 'Command' + 'C' on Mac.
  4. Navigate to the target database where you'd like to move this data into. Again, be sure to use a table view.
  5. Create a new empty row, select the full row, and hit 'Ctrl' + 'V' to paste your data.
  6. Create new rows for each database item.
  7. If the property names and values are the same, Notion will also auto-populate the properties it can when you hit paste. For the rest, you will need to refill these manually.

Step 1: Navigate to the Source Database

The first step is to navigate to the database where you want to copy items from. This is the "source database".

Step 2: Select the Data to Copy

Next, you need to select the data that you want to copy. It's best to do this in a table view, as this will allow you to easily select multiple items at once. If your data is in another view, such as a gallery view, you can switch to a table view by clicking the "Change view" button in the top right corner of the page, and selecting "Table".

Once you're in a table view, select the rows that contain the data you want to copy by dragging your cursor over them.

Step 3: Copy the Data

To copy the data, press "Ctrl" + "C" on your keyboard (or "Command" + "C" on a Mac). This will copy the data to your clipboard.

Step 4: Navigate to the Target Database

Next, navigate to the database where you want to move the data to. This is the "target database". As in step 2, make sure you're in a table view before proceeding.

Step 5: Create an Empty Row

Create a new empty row, select the full row, and hit 'Ctrl' + 'V' to paste your data.

Step 6: Check your New Rows

New rows should be created for each database item.

Step 7: Populate Properties

If the property names and values are the same, Notion will also auto-populate the properties it can when you hit paste. For the rest, you will need to refill these manually.

💡 What is a Notion OS? Notion OS templates are ready-made workspaces that have been designed for specific business types. You can always customize your Notion OS further with individual components--but your OS should serve as your base hub, with the fundamental structure you need to run a business in Notion.
