Creating groups (and sub-groups) in Notion database views is a very useful way to organize and sort your data. Once you've created your groups, or selected the property you want to group by, you can clean up your views even further by choosing to 'Hide' certain groups from a particular view.
Once you've designated a group and 'Hidden', you can also toggle on or off whether or not you want to see these 'Hidden' groups in the view.
A little confusing, I know...
So, here's a quick tutorial walking through how you can hide or show those groups once you've hidden them!
How To Hide or Show Hidden Groups In Notion
- Navigate to your database view;
- Select how you want to group your view;
- Select the three dot menu of a given group;
- Select 'Hide' to hide it from the database view;
- Scroll to the bottom of Gallery or Table views, and to the side of Board views to find your hidden groups;
- Select the hidden group, hit the 3 dot menu and select 'Show' if you'd like it to return to the view;
- You can also manage which groups are shown/hidden by clicking into 'Edit view', selecting 'Group' and toggling on or off the eye icon to show/hide specific groups.
Step 1: Navigate to Your Database View
To hide or show hidden groups in Notion, you'll need to first navigate to the database view that contains the groups you want to manage.
Step 2: Select How You Want to Group Your View
Once you're in the database view, you'll need to decide how you want to group your view. You can group your view by a specific property, such as a date or a tag, or you can choose to group by multiple properties at once. To select how you want to group your view, follow these steps:
- Click on the "Edit View" item from the Views menu;
- Click 'Group' from the view menu, then select the property you want to use for grouping.
Step 3: Select the Three Dot Menu of a Given Group
Once you've selected how you want to group your view, you'll see your groups displayed in the view. To hide or show a specific group, follow these steps:
- Click on the three dot menu icon (...) next to the group you want to manage.
- This will open a menu with a list of options.
Step 4: Select 'Hide' to Hide It from the Database View
To hide a group from the database view, follow these steps:
- From the menu that appears, select the "Hide" option.
- The group will no longer be visible in the view, but it will still be present in the database and can be accessed later if needed.
Step 5: Scroll to the Bottom of Gallery or Table Views, and to the Side of Board Views to Find Your Hidden Groups
To find your hidden groups, follow these steps:
- If you're using a Gallery or Table view, scroll to the bottom of the page to find your hidden groups.
- If you're using a Board view, scroll to the side to see the hidden groups.
Step 6: Select the Hidden Group, Hit the 3 Dot Menu and Select 'Show' If You'd Like It to Return to the View
To show a hidden group, follow these steps:
- Click on the group to select it.
- Click on the three dot menu icon (...) to open the menu.
- From the menu, select the "Show" option to make the group visible in the view again.
Step 7: Manage Which Groups Are Shown or Hidden Using the "Edit View" Option
If you want to manage which groups are shown or hidden in your database view, you can use the "Edit view" option to toggle the eye icons next to specific groups. To do this, follow these steps:
- Click on the "Edit view" button at the top of the database view;
- In the sidebar that appears, select the "Group" tab;
- Next to each group, you'll see an eye icon. To show a group in the view, toggle the eye icon on. To hide a group in the view, toggle the eye icon off;
- When you're finished, click out of the view menu to save your changes.
This is a quick and easy way to show or hide specific groups in your database view, without having to hide or show each group individually. You can use this option to customize your view to suit your needs, whether you want to focus on a specific group of items or show a broad overview of all your groups.
Examples
Here are a few examples of how you might use the steps outlined above to hide or show hidden groups in Notion:
- Temporarily hide a group: Let's say you have a database view that groups your tasks by due date, and you have a group of tasks that are due next week. You might want to hide this group temporarily while you work on tasks that are due sooner. To do this, you can follow the steps outlined above to hide the group, and then show it again once you're ready to work on those tasks. This can be a useful way to declutter your view and focus on the tasks at hand.
- Permanently hide a group: In some cases, you might want to permanently hide a group from view. For example, you might have a group of tasks that are no longer relevant, or a group of notes that you want to archive. To permanently hide a group, you can follow the steps outlined above to hide the group, and then use the "Edit view" option to toggle off the eye icon next to the group. This will permanently hide the group from view, but you can still access it by searching for it or using the "Show all" option in the "Group" tab.
- Manage multiple groups at once: If you have a large database with many groups, you might want to manage them all at once rather than hiding or showing each group individually. To do this, you can use the "Edit view" option to toggle the eye icons next to multiple groups at once. This can be a quick and efficient way to show or hide large numbers of groups at once.

Here are a few additional tips to help you get the most out of hiding and showing hidden groups in Notion:
- Use the "Show all" option to show all hidden groups at once: If you want to show all hidden groups at once, you can use the "Show all" or 'Hide all' option in the "Group" tab of the "Edit view" sidebar.
- Consider using different views for different purposes: If you have a large database with many groups, you might find it useful to create multiple views for different purposes. For example, you might create one view that shows all tasks grouped by due date, and another view that shows only high-priority tasks grouped by category. After you've grouped your view, hit 'Duplicate' on your database view, then simply adjust the Groups that you want to hide in the copied view.
